How to use Calendars in BookMe

Calendars

Calendars

Calendars are the foundation of BookMe — they define when you're available, what kind of meetings people can book with you, and how those bookings flow into your day. Instead of trading emails to find a time that works, you set up a calendar once and let others pick a slot that fits your schedule.

How to set up a calendar

  1. From the BookMe dashboard, click New Calendar.
  2. Give it a clear name, like "IT Support Sessions" or "Customer Onboarding Calls" — this is what invitees will see.
  3. Connect your calendar source (Google, Outlook, or another supported provider) so BookMe knows when you're already busy.
  4. Set your available hours — you can define recurring weekly availability or add specific date overrides for holidays and one-off blocks.
  5. Choose meeting length and buffer time between sessions to avoid back-to-back bookings.
  6. Add any booking rules, like minimum notice period or how far in advance people can book.
  7. Save and publish the calendar to get a shareable booking link.
  8. Share the link directly, embed it on a page, or add it to an email signature.

In practice

Priya, an IT helpdesk lead, sets up a "Tech Support Drop-In" calendar with 30-minute slots and a 2-hour buffer between bookings so her team isn't overloaded. She shares the link on the company intranet, and staff now self-schedule support sessions instead of flooding the helpdesk inbox — cutting scheduling back-and-forth to zero.

Marcus, a customer success manager, creates two separate calendars: "New Customer Onboarding" (45 minutes, booked within 3 business days) and "Product Demo" (30 minutes, open two weeks out). Prospects and new customers pick the right one straight from his outreach emails, and Marcus's calendar fills automatically without any manual coordination.

Tips

  • Create separate calendars for different meeting types (support, onboarding, demos) rather than one generic one — it keeps expectations clear for invitees.
  • Set a minimum notice window (like 4 hours) to avoid last-minute bookings you can't prepare for.
  • Review your buffer times periodically — if back-to-back calls are wearing you out, add a few extra minutes between slots.
