What is BookMe used for?

BookMe lets you and your team schedule meetings without the back-and-forth of email. You set up Calendars that define your availability, and let others book time directly into them — whether that's an IT helpdesk lead offering support slots, an onboarding coordinator running new-hire setup sessions, or a customer success manager booking demo and onboarding calls. Once a slot is booked, it shows up as a Booking your team can track and manage.

What can each role do in BookMe?

Admins have full access — they can create and edit Calendars, view all Bookings, and manage settings across the module. Members can manage Calendars and view Bookings, making this the right role for anyone actively running scheduling for their team. Viewers have read-only access, so they can see Calendars and Bookings but can't make changes.

Who should be a Viewer versus a Member?

Give someone Viewer access if they just need visibility into upcoming Bookings — for example, a team lead who wants to monitor session volume without setting up calendars themselves. Give someone Member access if they're actively creating or adjusting Calendars, like an IT onboarding coordinator managing new-hire sessions. Reserve Admin for whoever owns the BookMe setup for your whole workspace.

How do permissions in BookMe actually work?

Access follows your workspace's overall roles combined with BookMe's own permissions, so what you can see and do here matches your assigned role. An Admin can adjust settings and access every Calendar and Booking, while Members and Viewers are scoped to managing or viewing, respectively. This keeps scheduling data appropriately restricted without requiring separate logins or accounts.

What does a typical day-to-day workflow look like?

Most people start by opening or checking their Calendar for available slots, since that's where availability lives. From there, Bookings come in automatically as people schedule time — a helpdesk lead might see a new support session appear, or a customer success manager might see a demo call land on their calendar. Members and Admins can adjust Calendars as availability changes, keeping booking options accurate day to day.

Can I set up automatic actions when someone books a session?

Yes. Actions in BookMe, like a new Booking being created, can trigger automations — for example, sending a confirmation email, creating a follow-up task, or firing a webhook to another tool. This means you don't have to manually notify people or create tasks every time someone books time with you.

Does BookMe know who my contacts already are?

Yes. The person booking a session is recognized as the same profile across Metadot, so if they're already a CRM contact, Tickets requester, or InvoiceMe customer, you're not re-entering their details. This keeps their booking history connected to everything else you know about them.

How do I find a specific Calendar or Booking later?

Every Calendar and Booking you create is findable through Metadot's workspace-wide search, so you don't need to dig through the module itself. Just search for the person's name, session type, or date, and the relevant record will surface.
