How to use Scheduled in Stackr Project

Scheduled Boards

Scheduled boards let you turn a Stackr project template into a recurring board that gets created automatically — daily, weekly, monthly, or on whatever cadence you choose. Instead of manually spinning up the same board every time a repeating job comes around, you set it up once and let Metadot handle the rest.

How to create a scheduled board

  1. Go to Stackr Project → Scheduled in your workspace.
  2. Click New Schedule.
  3. Choose the template to use as the source board — this defines the cards and structure that get copied each time.
  4. Set the recurrence using the recurrence picker (e.g., every Monday, monthly on the 1st, every 90 days).
  5. Toggle Copy cards on if you want the new board to include the template's existing cards, or off if you just want a fresh empty board with the same structure.
  6. Assign a project manager for the boards this schedule creates — this person becomes the default owner each cycle.
  7. Save the schedule. It now appears in your Scheduled list with its next run date.
  8. Use Pause/Resume anytime to stop or restart a schedule without deleting it.
  9. Click Edit on any schedule to adjust the recurrence, template, copy settings, or manager.
  10. If you need someone else to manage a template, use Grant manager access to add them as a candidate manager for future schedules.

In practice

Facilities manager, K-12 school district: Maria manages HVAC and safety inspections across six school buildings. She creates one scheduled board per building using a "Monthly Maintenance Checklist" template, set to recur on the 1st of every month with card copying enabled so inspection tasks reset automatically. She assigns each building's site lead as project manager. Now every building gets a fresh checklist board without Maria lifting a finger.

IT manager, mid-size company: Dave runs quarterly laptop refresh cycles. He sets up a scheduled board from his "Device Refresh & Offboarding" template, recurring every 3 months, with the IT operations lead as manager. When a refresh cycle starts, the board is already waiting with the right structure in place.

Tips

  • Pause a schedule instead of deleting it if a recurring job is temporarily on hold — you'll keep the history and settings.
  • Turn off Copy cards for templates that should start clean each cycle, like audits or checklists.
  • Grant manager access to a teammate before you go on leave so their scheduled boards keep running smoothly.
